  1. ADDING AN OLD PST BACKUP FILE IN OUTLOOK

Purpose:
To access old emails that were backed up before mailbox cleanup or migration.

Steps:

  1. Open Outlook.
  2. Click File.
  3. Click Open & Export.
  4. Click Open Outlook Data File.
  5. Browse and select the PST file.
  6. Click Open.
  7. The PST will appear in the left folder pane as “Outlook Data File” or with the PST file name.

Alternative Method:

  1. File → Account Settings → Account Settings.
  2. Open the Data Files tab.
  3. Click Add.
  4. Select the PST file.
  5. Click OK.

Important:

  • PST files are local backups.
  • Opening a PST does not upload emails back to the server.
  • Always verify that emails are visible before deleting emails from the live mailbox.
  1. CLEARING FILTERS IN OUTLOOK

Purpose:
Sometimes Outlook shows “Nothing in folder” even though emails exist. This can happen because a filter is applied.

Steps:

  1. Open the affected folder.
  2. Go to the View tab.
  3. Click View Settings.
  4. Click Filter.
  5. Click Clear All.
  6. Click OK.
  7. Click OK again.

Additional Troubleshooting:

  • Try View → Reset View.
  • Try View → Change View → Compact.
  • Check the bottom-left corner for “Filter Applied”.

Important:
Before assuming emails are lost, always check:

  1. Filters
  2. View Settings
  3. PST/Data Files

Many Outlook issues are caused by filters or incorrect data file selection.
